What to Do When Your Team Has ChatGPT But Nothing Is Changing

The subscriptions are paid for. A handful of people use them. The problem is not the tool. Nobody built it into the actual work.

In short
  • Access is not adoption.
  • People do not know how to use it, where it fits, or when to trust it.
  • The return comes from building AI into each role, not from the subscription.

You did what you were supposed to do. You bought the subscriptions, announced them and sent the logins. You told the team to start using AI.

Nothing changed.

A few people tried. Most did not. The ones who tried got mixed results and went back to the old way. The subscriptions keep renewing. The work looks exactly the same.

This is not a tool problem. It is a deployment problem.

Access is not adoption

Giving people AI is not the same as getting them to use it.

There is no manual to explore. There is a text box, and what comes out depends entirely on what goes in. If people do not know how to ask, the tool looks useless. If they do not know where it fits their work, they will not reach for it. If they do not trust it, they will not rely on it.

None of that happens on its own. It needs real setup: this is your workflow, this is where AI fits, this is how to ask for your tasks, this is what good output looks like. Then support while the habit forms.

This is not a tool problem. It is a deployment problem.

Three reasons teams do not use it

They do not know how. Asking well is a skill. Most people try once, get a mediocre answer and decide the tool does not work.

They do not know where it fits. AI is excellent at some tasks and useless at others. Without guidance, people either try it on everything or avoid it entirely.

They do not trust it. They are not sure when the output is reliable, so they keep it away from anything that matters.

All three are solved by proper deployment. None are solved by access alone.

The return is in deployment

The subscription costs the same whether a handful of people use it or the whole team does. The return depends entirely on how many people build it into their daily work.

That is where the value is. Not in buying better tools. In setting up the ones you already pay for.

How we work

We look at how each role actually works, find where AI gives the most time back, and set it up around that role: what to use it for, how to ask, what good looks like. Then we stay while the habit forms, and adjust what does not stick.

The measure is not whether people have access. It is whether they use it, and whether it saves real time.
